Job Description

The Administrative Assistant provides a broad range of administrative support including routine handling of confidential information, reporting, filing, creating documents, supply orders and marketing support.  Excellent verbal/written communication skills with the ability to multi-task.  Must be self-driven and motivated and have a strong sense of pride and ownership in their work. Must be organized and able to multitask with the ability to receive direction from multiple sources.

  • Proposal Advertising & Quote Solicitation
  • New Hire Paper work & Orientation
  • Advertising & contact database management
  • Job completion advertising brochures
  • Maintain & update contract & insurance certificate logs
  • Interact with employees, clients and visitors.
  • Perform general clerical duties including bookkeeping, copying, faxing, mailing and filing.
  • Establish and maintain a document filing system to file and retrieve organizational documents, records and reports or revise previous documents.
  • Create and modify documents, memos and letters using word processing, spreadsheet, database and/or other presentation software.
  • Provide information and assistance to clients and co-workers.
  • Assist with overall maintenance of the organization and its offices.
  • Provide assistance to Project Management and assist with special projects as necessary.

Job Qualifications

  • Effective communication skills and ability to collaborate with all personnel and clients.
  • Ability to handle multiple priorities in a timely and effective manner while using discretion and good judgment.
  • Perform moderately difficult clerical duties.
  • Follow general instructions for desire format of work.
  • Ability to proofread and edit own work.
  • Maintain confidentiality in all aspects of work responsibilities.

Job Qualifications

  • Associate/Bachelor's degree in general business administration.
  • 2-5 years minimum experience in construction related field.
  • Strong working knowledge of Microsoft Office products including Word, Excel, PowerPoint and Outlook.
  • Ability to learn new software packages.
  • Website editing and development desirable.
